Booking Conditions

1. Booking details must be completed personally by the traveller or by one person on behalf of a group who is deemed authorized by individual members (the “Client”) of the Group to contract on their behalf.

Booking confirmation

All Bookings will be confirmed by 30% upfront payment as a booking guarantee. Once you confirm a booking with us, we will send you the relevant bank details or the link of our online payment gateway via an email along with the formal travel voucher. The advance payment has to be done within 03 days of your booking confirmation. Once you done the payment, let us know via E-mail so that we can check it and confirm you right after or better to send us the scanned copy of your payment slip or receipt via an email. And once we receive your payment, we will confirm you by a return email. The balance payment can be done three weeks prior to the arrival date.

Booking cancellation

Sri Lanka by Bike has right to cancel or neutralize the booking if the payment is not made within the agreed payment date.

Cancellation of your travel plan by you must be notified to us in writing, and will take effect the day we receive it. The following penalties will apply dependent upon the number of days before your travel plan commence:

• Cancel the booking in 45 days or more; Forfeit of deposit ( Refund 100% )

• Cancel the booking between 25 to 44 days; 90% of total ground arrangement cost will be refunded

• Cancel the booking between 15 to 24 days; 80% of total ground arrangement cost will be refunded

• 14 days or less than 14 days; Non-refundable

Booking amendments

Sri Lanka by Bike offers flexible tour packages & itineraries at all the time.

After the booking confirmation, if a traveler wishes to amend or change the agreed tour itinerary, such as dates, tour activities and the nature of the services, must be informed in advance to do the necessary changes. Traveler may endure cancellation charges or additional costs of the amended tour itinerary.

Insurance

Every traveler must have valid travel insurance and details of the policy which are clearly stated before traveling.

Health condition

Sri Lanka by Bike strongly recommends every traveler who wish to travel to Sri Lanka to check their health condition before traveling. If a traveler suffers from any sickness, meet and get medical advices and necessary health documents before traveling. If a traveler suffer any sickness and an injury during the holiday in Sri Lanka with us, please inform our tour representatives immediately. They will provide suitable advices and guidance. This must be carried out in conjunction with your personal travel insurance policy.

Hotel accommodations

During a tour, your images and photographs might be captured by our representative for the company usage and to maintain the gallery. Or you may voluntarily send us the images that you have taken throughout the tour. We ensure to ask you for consent to use the images for marketing purposes (throughout the website and in our digital newsletter, as well as on social media such as Facebook, Instagram, and Twitter) and to upload them to the blog section of our website. The blog will contain the name, images, and the written descriptions of you. In case you need not publish your name, it will be removed as per your request. Please note that all the content you send us will be used with your permission only.

7. Who Can Access Your Data

We will never sell or rent your data to third parties, only sharing information when it is required to fulfill our obligation to you. Data submitted through our forms is accessible only by us. We do not pass it on to any third parties. Although our website and communications may contain links to other websites, we are not the owners of these sites, and therefore are not responsible for the privacy practices of such other sites.

8.  Secure Your Personal Information

Generally, you will be able to visit this website without revealing your identity or any of your information. However, with our strict physical, electronic, and administrative safeguards, we are protecting your personal information from hinders of unauthorized or inappropriate access.

10. PERIOD FOR WHICH THE PERSONAL DATA WILL BE STORED

Your personal data will be stored by the Company for a minimum of seven (7) years and for a maximum period as may be required under law or accepted business practices.
